What functions and modules does SAP HCM provide?

SAP HCM has a modular structure. Companies can implement single SAP HCM modules and combine them as required since all submodules are based on the same master data and integrated with each other. The most important main components in SAP HCM are as follows: 

Personnel administration (PA)

Core module for personnel administration where all HR master data is managed centrally and in a time-oriented manner. This module maps the digital personnel file and replaces paper-based files. Thanks to historical data storage, it is possible to trace at any time which employee was assigned to which organizational unit or pay scale group and when. Centralized personnel administration reduces errors, improves data quality and reduces manual effort.

Organizational management (OM)

Here, the company structure, organizational units, jobs and positions are mapped. Organizational management models hierarchies and reporting paths and serves as the basis for many processes, such as junior staff and applicant management as well as career and personnel planning for the workforce. Thanks to integration, changes in the organizational structure automatically affect authorizations and workflows.

Personnel time management (PT)

Module for time management and time recording. It supports the planning and recording of working times and absences and evaluates work performance. Employees can record their working hours using terminals or digital time recording tools, for instance, and correct them via self-services. The data entered is seamlessly integrated into payroll accounting so that overtime hours or shift allowances, for instance, are taken into account in the payroll. 

Payroll (PY)

The SAP HCM payroll module for payroll accounting. Here, employee wages and salaries are calculated based on time data, compensation rules, collective agreements and legal requirements. Despite extensive automation, the system offers a payroll cockpit for manual interventions and corrections. Payroll in SAP HCM is highly customizable to map complex payroll rules. The payroll results are transferred to financial accounting and can be evaluated for HR reporting purposes. 

Personnel recruitment (PR)/applicant management

Module for recruiting und e-recruiting. Companies can centrally manage job vacancies and publish job requirements or job descriptions online. SAP Applicant Management enables you to schedule job interviews, track deadlines and manage applications. Incoming applications can be recorded as master data and transferred directly to personnel administration upon hiring. This module supports efficient SAP recruiting via modern channels and creates transparency in the hiring process.

Talent management (personnel development)

Includes functions for performance reviews, career and succession planning and compensation management. In traditional SAP HCM, talent management consists of submodules such as Performance Management (PEM for target agreements and performance assessment) and Learning Solution (LSO for further training). This helps you plan development opportunities for employees, compare qualifications with vacancies and create individual development plans. Compensation Management is supported to ensure that salary adjustments, bonuses and premiums are managed transparently and fairly.

Event Management (PE)

Also known as SAP seminar management or training management. This module is used to plan and perform training programs, training courses and seminars for employees. HR developers can catalog events, organize trainers, rooms and materials and manage costs and budgets. After completing training courses, the qualifications acquired are entered directly into the employee master data. The SAP training system functionality enables you to maintain an internal course catalog, which supports learning management.

Further components

In addition, SAP HCM offers cross-sectional components such as Employee Self-Services (ESS) and Manager Self Services (MSS), which are often provided via an SAP employee portal. Employees and executives can use these portals to handle numerous HR matters themselves in the system – from leave requests and working time corrections to travel requests. Such self-services significantly reduce the workload of the HR department as applications can be submitted and approved digitally. In addition, SAP HCM is open to the integration of other SAP modules and external applications (e.g. SAP Travel Management for travel expense accounting).

What does the future of SAP HCM look like?

SAP ERP HCM has a limited time frame as SAP has announced that it will gradually phase out the support for SAP HCM as part of the transition to S/4HANA. Specifically, maintenance for SAP HCM in the SAP ERP 6.0 environment will only be guaranteed until the end of 2027 (mainstream maintenance). With fee-based extended maintenance, it is possible to use it until the end of 2030 at the latest. After that, support will end permanently. Companies that use SAP HCM must therefore consider succession solutions in good time.

This cloud-based system, often referred to as SuccessFactors HCM Suite, includes all the functionalities of the classic SAP HCM solution – from Core HR (Employee Central for master data and personnel administration including organizational management and optional cloud-based payroll) to talent management modules, such as recruiting, onboarding, compensation and learning. SuccessFactors was originally developed as an independent talent management suite. It was acquired by SAP in 2011 and has been greatly expanded ever since.

Today, SAP SuccessFactors HCM is a complete HCM cloud solution that offers innovative features in addition to traditional functions (e.g. embedded AI, mobile self-services, regular quarterly updates). By combining SAP ERP HCM and the SuccessFactors cloud solution in a hybrid approach, you can make use of the advantages of on-premises and cloud environments. The HR core functions remain securely in the proven on-premises environment, while functions such as recruiting, talent management and a learning solution are managed in a modern and flexible manner in the cloud.

As an alternative, SAP provides with SAP HCM for S/4HANA (in short: H4S4) a variant based on SAP S/4HANA that is available both on-premises and in the private cloud. A committed term until 2040 applies here. For users running SAP HCM on-premises, the executability of the HR core functions, such as payroll and time management, is therefore still guaranteed. In addition, it is important to prepare the way towards the cloud in the next few years and to already make the transition step by step via hybrid scenarios for instance.

H4S4 is a temporary solution and primarily serves to give customers more time for transformation. Alternatively, hybrid models are also conceivable, in which parts of the HR landscape run in the cloud (SAP SuccessFactors) and other parts continue to run on-premise – for example, SuccessFactors Employee Central as central master data management combined with SAP Payroll and Time Management on-premise under S/4HANA.

Possibilities of the SAP HCM strategy

In summary, SAP customers in the HR sector have the following strategic options

  • Transition to SAP SuccessFactors (cloud): 
    Full migration into the SAP cloud HR world. This is the state-of-the-art solution in the long term with regular innovations and eliminates the need for individual upgrades. SAP SuccessFactors covers all HR functions and is continuously being further developed. However, companies must adapt their processes to the cloud standards and take issues such as data protection and integration into account. 
  • Continued operation with H4S4 (on-premise): 
    Technical migration from SAP ERP HCM to SAP HCM for S/4HANA to gain time until 2040. This approach requires an S/4HANA system (on-premise or private cloud) and offers few functional innovations. However, it protects existing investments in the short term. It is recommended for companies that are unable to switch to the cloud in the short term due to specific payroll requirements. 
  • Hybrid approach: 
    A combination of both, e.g. gradual implementation of SAP SuccessFactors (for talent management, e-recruiting, learning, etc.), while critical processes such as payroll HCM and time management still run on-premise in H4S4. This allows companies to take advantage of both worlds and make a smooth transition.
